      Marketing Hub onboarding details

If they choose Marketing pro, the questions on page 2 are:

How many systems/databases are you migrating to HubSpot? Many customers are moving to HubSpot from another CRM or system. Typical systems/databases we see moving to HubSpot include Salesforce Pardot, Constant Contact, Marketo, MailChimp, and more.

Basic onboarding of a Pro Hub includes the migration of one basic system. Anything beyond one basic system will be an add-on.

Basic system/database migrations For example, a basic migration would include migrating contacts from MailChimp or bringing over leads from Salesforce to HubSpot.

Basic system migrations include migrating standard objects and standard activities.

Advanced system/database migrations For example, an advanced migration would be needed if you have contacts associated to companies associated to tickets...and you need those things to still be connected after your migration to HubSpot. Or if you have a custom onbject in the system you're migrating away from, and we will need to recreate that custom object in HubSpot.

Advanced system migrations involve custom objects and cross-object activity logging.

How many third-party tools do you want to integrate with your new Hub via HubSpot native integration? A tool has a native integration with HubSpot when it has an integration with HubSpot built in - meaning the tools are compatible and can “talk to” eachother out of the box. To see if your favorite tool has a native integration with HubSpot, search for it HERE. Common tools with native HubSpot integrations include Stripe, Outreach, SalesLoft, Aircall, and more.

Basic onboarding of a Pro Hub includes two native integrations. Anything beyond two will be an add-on.

Do you want up to 5 advanced automations included in your onboarding package for this Hub? Often, advanced automations for Marketing Hub will include XXXXX

Advanced automations include workflows with up to seven actions and up to five variables for triggers. These can also include up to three if/then branches with up to five variables each.

How many systems/databases are you migrating to HubSpot? Many customers are moving to HubSpot from another CRM or system. Typical systems/databases we see moving to HubSpot include Salesforce Pardot, Constant Contact, Marketo, MailChimp, and more.

Basic onboarding of an Enterprise Hub includes the migration of one basic system. Anything beyond one basic system will be an add-on.

How many third-party tools or home-grown softwares do you want to integrate with HubSpot via API (ie., your tool does not have a native HubSpot integration)? If your favorite tools do not have native integrations with HubSpot, to make your systems “talk” we’ll need to do it via custom API or Zapier. We have a standard price per integration, but we’ll need to validate everything before starting your build. If you know you need tools integrated via API, be sure to choose how many tools you want to integrate here. Then we can communicate about the specific tools via email or on a quick call to validate the request and your pricing.

Basic onboarding of an Enterprise Hub does not include API integrations, so anything you add here will be an add-on. Note: We will add a standard price for your API integrations, but because API integrations can be complicated, we will explore your API needs and pricing on a quick call. This means your pricing could go up OR down.

Basic API Integration Basic API integration work requires that the API documentation exists and the handshake exists.

Basic API work is object-to-object or property-to-property, with limited conditions.

Advanced API Integration Advanced API integration work requires that the API documentation exists and the handshake exists.

Advanced API work is cross-object from a single trigger with multiple conditions.

Custom API Integration Custom API integration work requires that a custom handshake exists.

Custom API work will involve integrating your home-grown tools with HubSpot.

Do you want up to 5 advanced automations included in your onboarding package for this Hub? An advanced automation for the Sales Hub might be a workflow that triggers when a lead fills out a form on your website and then uses an if/then branch to segment the lead based on industry. If the lead is in the technology industry, the workflow assigns a specific sales representative to the lead and sends them a personalized email template. If the lead is in another industry, the workflow assigns a different sales representative and sends a different email template. Variables are used to personalize the email templates with the lead's name, company name, and other information from the form they filled out. The workflow also uses a trigger to schedule a follow-up call with the lead in 7 days. If the lead does not respond to the email or schedule a call, the workflow sends a reminder email.

Advanced automations include workflows with up to seven actions and up to five variables for triggers. These can also include up to three if/then branches with up to five variables each.

Advanced automations include workflows with up to seven actions and up to five variables for triggers. These can also include up to three if/then branches with up to five variables each.

If they choose Sales pro, the questions on page 2 are:

How many systems/databases are you migrating to HubSpot? Many customers are moving to HubSpot from another CRM or system. Typical systems/databases we see moving to HubSpot include Salesforce, Outreach, Salesloft, spreadsheets, and more.

Advanced onboarding of a Pro Hub includes the migration of two basic systems. Anything beyond two basic systems will be an add-on.

A tool has a native integration with HubSpot when it has an integration with HubSpot built in - meaning the tools are compatible and can “talk to” each other out of the box. To see if your favorite tool has a native integration with HubSpot, search for it HERE. Common tools with native HubSpot integrations include Stripe, Outreach, Salesloft, Aircall, Salesforce, and more.

Advanced onboarding of a Pro Hub includes five native integrations. Anything beyond five will be an add-on.

Do you want up to 5 advanced automations included in your onboarding package for this Hub? An advanced automation for the Service Hub might be a workflow that triggers when a customer submits a support ticket via your website. The workflow uses an if/then branch to segment the ticket based on the type of request. If it's a technical issue, the workflow assigns the ticket to a specific technical support team member and sends them an email notification. If it's a billing inquiry, the workflow assigns the ticket to a different support team member and sends an email notification. Variables are used to personalize the email notification with the customer's name, company name, and details of the ticket. The workflow also uses a trigger to schedule a follow-up with the customer in 3 days to check on the status of the ticket. If the customer hasn't responded or the ticket hasn't been closed, the workflow sends a reminder email.

Advanced automations include workflows with up to seven actions and up to five variables for triggers. These can also include up to three if/then branches with up to five variables each.

      FAQs

What if I'm not sure about some of the answers I gave in the onboarding builder?

If you have questions about your selections in the builder, click the Talk to Sales button and connect with one of our Solutions Consultants who can walk you through your fit-for-purpose onboarding build. In a quick consult we can ensure that the package you build will get the job done!

Is the price I'm quoted here guaranteed?

The prices quoted using this tool are meant to give you a ballpark idea of what your onboarding would cost.

Once you've quoted your price, we'll want to get on a quick call to validate your inputs to the builder so that we can be sure your price is in line with your needs. There have been plenty of cases where someone gets their ballpark price from our calculator, gets in touch, and sees their actual quoted price go down once we've validated their needs. Of course, the same is also true in the opposite direction; sometimes a call with our team will uncover needs that require more building/scoping/customization, and so the price goes up.

The point of the onboarding builder tool is to give you a general idea of budget, and then we can get down into the specifics from there.

What happens when we're done onboarding?

Don’t get us wrong, we would love to be your HubSpot agency! But our goal with onboarding isn't job security. That’s why our onboarding process is designed to empower you and your team to be effective on your own. But because we know things often come up after onboarding, we offer a variety of HubSpot support services. Let us know what you're looking for support-wise and we can make it happen. 😎

What's the happens after I request my quote?

Once you request your quote, one of our Account Executives will take a look at your inputs and email you with more info about your ballpark price.

If it looks like it's worth exploring, you can click the link in the email to book a meeting with our team so that we can validate all of your inputs (eg. what tools are you integrating? What systems are you migrating?) and to answer any questions you have about onboarding. If adjustments up or down to pricing need to be made, we'll work with you the how & why. From there, you can decide if you'd like to accept the quote and get started with your onboarding!

Once we meet and I sign the onboarding quote, what happens next?

Once you sign your quote, the Digital Reach team jumps into action. First, we schedule a kickoff meeting where you'll meet your Project Coordinator. Your Project Coordinator will shepherd you through the entire onboarding process from start to finish.

After kickoff, we'll start your HubSpot build. Your Project Coordinator will schedule a series of discovery and review meetings throughout the build to ensure that your onboarding is customized to your business needs. Finally, it's adoption training and the launch of your shiny new HubSpot portal.

Why should I onboard with Digital Reach instead of HubSpot?

As you know, HubSpot offers onboarding for customers. But as great as the HubSpot team is, there’s only so much they can do during their onboarding process.

They'll work with you on a consultative basis, meaning they aren't going to do a deep dive into your business and your unique processes, and they aren't going to do the work for you. But they'll certainly point you in the right direction and talk to you about best practices!

This is great, but it still leaves your team accountable for all of the building & doing in HubSpot. That means you'll be responsible for adding your own integrations with the tools you use, building your own buyer journeys, building out your email templates, configuring your workflows and automations, and onboarding the rest of your team to your new processes.

So when does it make sense to onboard with a partner like Digital Reach? Here are some general guidelines:

      • You want to make HubSpot work for your unique business processes rather than having a one-size-fits-all approach.
      • Maybe you have an existing CRM - or multiple CRMs - that need to be integrated into one.
      • You require technical and strategic builders to automate away some of your most repetitive tasks.
      • You simply don't have the time to spend on learning how to set everything up when your focus is running your business.

How much work will you require of my team during onboarding?

We’ll do the heavy lifting, but there will need to be some involvement from your team to ensure that we make your HubSpot instance as useful, time-saving, and business driving as it should be. But for whatever we request of you and your team, you can be assured that you won’t be toiling alone! We’ll be wrench-turning by your side and your Project Coordinator will guide you every step of the way.
