Videos Received and First Interview Workflow

When the applicant submits their videos, the ticket is automatically moved to the appropriate stage and the hiring team is made aware of the videos being available for viewing.

The hiring team is reminded to check the videos and to determine if they want to move the candidate onto the first interview round or not.

We give the hiring managers a few days to do this and also let the candidate know the overall hiring process and timelines so that they feel informed as well.

If you opt not to move someone onto the interview round, you will need to drag and drop the ticket to the Not Hired stage. You could have an automation that moves someone automatically after 7 days if they have not been moved on, but it depends on how fast your hiring process moves.

We have our HR manager audit the pipeline weekly to make sure we don’t have any tickets not being moved properly so that we can update candidates in a timely manner.

Once someone is moved to the First Interview Approved stage of the pipeline they receive an email to book an interview time using a meeting link. We use smart content in emails to deliver the right link per job role. This ensures we don’t have to create a workflow for each job we are hiring for.

The candidate gets a reminder if they don’t book within 24 hours and if they don’t book within the 48 hours they were given, the system will automatically move them to Not Hired.
