Workflows Overview
There are 17 workflows involved in building out this ATS process. They are all pretty simple and we opted to build more smaller workflows than building less large workflows.
I think that this makes it easier to stay organized, but to each her own!
I put all of my workflows into one folder, but you can organize them into folders based on the stage of the hiring pipeline if you find that to be more helpful.
Some of the workflows are centered on the contact object while others are focused on the ticket object.
If you build this process with the Sales Hub instead of the Service Hub, the workflows that I center on the ticket object would be centered on the deal object.
Be sure to add descriptions to your workflows and use the note-taking bubbles that are available on the actions to ensure that you know what each workflow accomplishes.
While you would ideally build this for all positions that you hire at once, that may not be feasible.
We built the three roles we were hiring for at that time and have an ongoing project to build out the remaining job roles.
It might help you to start small with just a handful of job roles if you are new to building complex workflow systems.
Be sure to use cloning as much as you can - clone similar workflows like the ones for the beginning of the applicant tracking process for each role. Clone branches that are repeated within a workflow for each job role as well to save you time.
