Case Study: Centralizing Hybrid Event Operations
Success Story

Centralizing Hybrid
Event Operations.

Building a scalable, fully automated event engine natively within HubSpot to seamlessly handle online webinars, physical capacity limits, and sophisticated communication flows.

The Client

MaestroQA, a B2B SaaS leader hosting frequent high-value webinars and physical events.

The Roadblock

Transitioning away from a legacy Marketo environment while needing a unified system to handle high-volume hybrid events, precise attendance tracking, and strict physical capacity management.

The Fix

A bespoke HubSpot event architecture leveraging custom workflows, dynamic lists, seamless Zoom API integrations, and an inventive Deal Pipeline structure to govern physical capacity automatically.

The Integration Roadblock

When migrating away from enterprise marketing platforms like Marketo, organizations frequently fear losing their complex event management capabilities. For MaestroQA, engaging the community and generating leads relies heavily on both virtual webinars and physical events.

Regardless of the format, the technical backbone remains identical: you must capture the registration, seamlessly nurture the attendee prior to the start time, track actual attendance, and deploy contextual post-event follow-ups.

Siloed Event Tech

Companies frequently lean on third-party event platforms that lack native CRM syncing, instantly creating dark spots in the customer journey.

Manual Capacity Control

For physical venues bound by fire codes, staff were relegated to manually checking registration counts and physically disabling forms when rooms hit capacity.

Fractured Follow-Up

Because Zoom logs and physical sign-in sheets didn’t flow into the CRM instantly, triggering the correct "thank you" or "sorry we missed you" emails required grueling spreadsheet uploads.

The ultimate goal? A framework that automates the heavy lifting, empowering the team to focus on the attendee experience rather than battling their software.

The Blueprint: Anchored in HubSpot

When Digital Reach designed the MaestroQA migration, the objective was decisive: completely remove the reliance on disconnected external event tools by constructing a bulletproof event engine natively inside HubSpot.

By maximizing HubSpot’s native active lists, tailored workflows, dynamic forms, and API integrations (such as Zoom), we established a highly scalable, repeatable event template. This structural design easily manages both virtual webinars and physical gatherings, guaranteeing a single source of truth with zero manual data entry.

The Implementation
Framework

A scalable blueprint for enterprise event management.

Streamlined Registration & Nurture Sequences

The core of the engine relies on a standardized set of workflows that entirely automate pre-event logistics.

  • The Trigger: A user completes a HubSpot form and lands on an Active List. For webinars, this initiates a native Zoom sync, generating a unique join link instantly.
  • Automated Pacing: The workflow suspends the registrant and automatically fires dynamic reminders (e.g., 7 days out, 24 hours out, and a 15-minute "Starting Now" alert).
  • Intelligent Segmentation: Initial event invitations are dynamically deployed based on CRM data, separating VIP partners from standard prospects to ensure the right audience is targeted.

Dual-Track Attendance Monitoring

Securing registrations is easy; accurately recording attendance is notoriously difficult. We deployed a dual-system for both virtual and physical events.

  • Virtual (Zoom): The API writes attendance metrics back to the HubSpot contact record the second the broadcast concludes.
  • In-Person: We constructed an "Event Check-In" dashboard in HubSpot. Door staff using tablets filter by the attendee list and simply toggle a custom "Attended: Yes/No" property upon entry.
  • The Routing Split: Post-event workflows read these properties, sending attendees a recording/recap, while no-shows get a "sorry we missed you" sequence. Engaged leads are instantly routed to Sales.

Pipeline-Driven Capacity & Waitlisting

Overbooking a physical venue presents a massive liability. To resolve this strictly within HubSpot—bypassing costly external add-ons—we developed an inventive solution using Deal Pipelines.

  • Event as a Deal: A custom pipeline was created where the physical event itself operates as a standard "Deal" record.
  • Live Math Calculations: The Event Deal holds a "Total Capacity" property. Every form submission associates a Contact to that Deal, triggering a Roll-Up property that continually calculates: Total Capacity - Registrants = Remaining Capacity.
  • Automated Pivot: Once 'Remaining Capacity' drops to zero, workflows dynamically adjust. Subsequent submissions bypass the confirmation email and trigger an automated waitlist notification instead.
